Estes Bill of Lading (BOL)

Estes BOL

The Estes BOL is the bill of lading Estes Express Lines publishes for the freight it carries. Estes offers the official one two ways: a fillable PDF in its forms library, and an online Bill of Lading tool that needs a My Estes login. This site's free bill of lading generator makes a standard short-form BOL instead, which is a different document from the Estes form.

What this page is, and is not

This is an independent guide for people who searched for the Estes bill of lading. It is not affiliated with, endorsed by or connected to Estes Express Lines, and it does not reproduce the Estes form. Every Estes-specific detail below comes from Estes's own public pages, linked where it is used, and was checked against them in October 2026. Estes can change its forms and tools whenever it likes. If this page and Estes ever disagree, go with Estes.

Getting the Estes BOL PDF or the online form

Estes keeps its paperwork in a Shipping Forms and Documents library. Three of the downloads there are bills of lading, and a fourth entry is the web form.

Bill of lading versions listed in the Estes forms library
VersionFormatWhat the forms library says
Bill of Lading Web form in My Estes Requires a login. Covers shipments within or between the U.S. and Canada, with a choice of a blank Estes BOL or a blank VICS BOL.
Bill of Lading PDF For shipments within or between the U.S., Canada and the Caribbean.
Bill of Lading, VICS PDF No description. The retail layout, covered below.
Bill of Lading, Mexico PDF For shipments to or from Mexico.

For ordinary domestic LTL freight, the second row is the one people mean. It is a single Letter-size page with fields you can type into before printing. A note near the top says that if your text will not fit in the spaces, you should complete the online BOL instead, which is good advice for a long hazmat description.

If you came looking for an Estes blank BOL to fill in by hand, that PDF is it. Estes's FAQ says you can create a BOL without a My Estes account by downloading it, so the login only matters for the online version.

Making an Estes bill of lading online

The online version is the Bill of Lading application inside My Estes. Estes's Bill of Lading Made Easy page, the how-to guide linked from it and the FAQ describe what it adds to a printed form:

The guide's screenshots show an Auto-assign PRO Number switch when you create the BOL, and the PRO printed above the finished document on the confirmation screen.

The Estes BOL form, box by box

Estes's bill of lading instructions number the boxes on its form, 27 in all. Most ask for what any LTL bill of lading asks for. These are the ones where Estes states a rule of its own, using Estes's numbering.

Selected boxes from the Estes bill of lading instructions
BoxWhat Estes asks for
3. Shipper's numberYour own BOL number. Optional.
5. RouteDespite the name, the consignee's phone and email. The current PDF labels these Consignee Phone # and Consignee Email.
6. For payment bill toA third party's name and address, only when someone other than shipper or consignee pays.
12. DescriptionSpecific, matching an NMFC description rather than a product or trade name, with the NMFC item number if known.
13. WeightAccurate. Estes says weight is subject to its correction.
14. RateClass or rate from the latest NMFC edition, which Estes may change if the freight proves to be a different class.
17. Prepaid or collectMark one. Unmarked shipments move prepaid.
19. ValueIf the rate depends on value, the declared value per pound, in writing.
25. PRO stickerApplied by the driver.

The instructions and the current PDF differ

The numbered guide still describes COD entries and a spot for a Gold Medal sticker. The PDF available when this page was updated has neither. Its bottom row reads Place PRO Label Here and Place Guaranteed Sticker Here, beside a box for pallet and piece counts. Estes's FAQ also says it no longer delivers COD shipments, though collect shipments (freight charges billed to the consignee or a third party) still move. Fill in the form you are holding, and skip any instruction for a box your copy does not have.

Declared value and Full Value Coverage

A red strip across the Estes PDF lets the shipper request Full Value Coverage, under item 350 of the Estes Rules Tariff (EXLA 105), by entering the value of the whole shipment. If no value is entered, the lowest applicable released value applies. Estes's FAQ says the coverage pays invoice value on loss or damage, and that a paper BOL requests it by stating "Full Value Coverage" with the total invoice value.

Hazardous materials on an Estes BOL

Estes's hazmat FAQ lists what a paper BOL must carry: number and type of packages, ID number, proper shipping name, hazard class, packing group where one applies, weight, an emergency response phone number and the signed shipper's certification. The description follows that order, and Estes points to 49 CFR 172.200 to 172.205 for the detail. On the PDF, mark the HM column and use the red emergency contact box.

Estes freight BOL numbers, PRO numbers and tracking

Two numbers end up on every Estes shipment. The BOL number is yours: the Shipper's # box on paper, an optional reference field online. Use something you can search for months from now, such as a PO or an order number. The PRO number is Estes's. On paper the driver sticks the PRO label in the bottom-left box; online, it can be assigned when you create the BOL.

Estes's FAQ lists PRO, bill of lading, pickup request, interline PRO, load order and purchase order numbers as references its tracking accepts. The same FAQ explains the usual snags:

Freight class and NMFC on the Estes form

Boxes 12 and 14 decide the rate, and Estes checks them. Its FAQ says invoices can change to reflect reweighs on its certified scales, dimensioner scans and NMFC class standards, and that it has dimensioners in every terminal. A class worked out from the bare product instead of the built pallet will be caught.

Since NMFC Docket 2025-1 took effect on July 19, 2025, many more commodities are classed by density, on a 13-step scale from class 400 down to class 50. The freight class calculator does the density arithmetic for one pallet or several. Estes's FAQ adds that some classifications also require the value or the density to be declared on the BOL, so look up the current NMFC item instead of copying one from an old bill. Where class, NMFC and weight sit on a standard form is covered in how to fill out a bill of lading.

The Estes VICS bill of lading

Estes publishes a VICS version as a PDF and as an option in the online tool. Its FAQ describes the VICS BOL as specific to the retail industry. The PDF prints the carrier as Estes Express with the SCAC EXLA, and adds what a retail distribution center reconciles against: SID and CID numbers, a customer order block, a master bill of lading checkbox, trailer and seal numbers, and NMFC and class columns marked for LTL only. A second page, Supplement to the Bill of Lading, takes the lines that overflow. Use it when a retailer's routing guide asks for a VICS BOL.

If the routing guide asks for VICS but not for the Estes-branded copy, the site's bill of lading template has a VICS layout with the same retail blocks. Ask Estes first whether it will move freight on that version.

When a standard short-form BOL is enough

Estes's FAQ says a BOL is required for all freight shipments, and Estes offers its own in PDF and online. None of the Estes pages behind this guide say whether Estes takes a carrier-neutral layout on a given account or service, so this page will not guess.

A standard short-form BOL holds the same facts the Estes Express bill of lading asks for: shipper, consignee, bill-to, handling units, an NMFC description with class, weight, declared value, freight terms and the hazmat column. It is the everyday document for carriers with no form of their own. On an Estes shipment it works well as a worksheet: draft on the bill of lading template, check every line while nobody is waiting at the dock, then key it into the Estes tool or copy it onto the Estes PDF.

To hand Estes anything other than its own form, ask at booking, not at pickup. Put one plain question to your Estes account manager or Customer Care team: "Can this shipment move on a standard short-form bill of lading, or do you need it on the Estes BOL?"

Shipping with more than one carrier? There are separate guides to the FedEx Freight bill of lading, the XPO bill of lading and the Old Dominion bill of lading. For what a bill of lading does in law, whoever's name is printed on it, start with what a bill of lading is.

Common questions

How do I fill out an Estes BOL?

Follow the Estes bill of lading instructions, which number every box on the Estes form and say who fills it in. The shipper completes the date, both addresses, the consignee's phone and email, any third-party bill-to, the package count, the HM column, a description that matches the NMFC, the weight and class, and the prepaid or collect choice, then signs. The driver adds the PRO label, the counted units and a signature. In the online tool, a Walk Me Through button gives a guided tour of the same steps.

What does BOL mean in shipping?

BOL stands for bill of lading, the document a carrier signs when it picks freight up. It is the receipt for the goods and the contract the freight moves under. Estes's own FAQ describes it as the legal document that hands responsibility for your freight to Estes for the journey, and says a BOL is required for all freight shipments. Federal rules point the same way: 49 CFR 373.101 requires for-hire, non-exempt motor carriers to issue a receipt or bill of lading for interstate and foreign freight.

Where can I download the Estes BOL PDF?

From the Estes forms library on estes-express.com. It lists a standard Bill of Lading PDF, a VICS version and a separate Mexico version, plus an online Bill of Lading web form for My Estes users. The standard PDF is one fillable page you can type into and print. Download it from Estes each time rather than reusing a copy saved long ago or hosted elsewhere, since the current PDF already differs in places from Estes's own numbered instructions.

Do I need a My Estes account to make an Estes BOL?

Only for the online version. The forms library marks the web Bill of Lading form as requiring a login, but Estes's FAQ says you can create a BOL without a My Estes account by downloading the PDF from the forms library and filling it in by hand. What the online tool adds is convenience: saved addresses, reusable templates, a PRO number assigned when you submit and a pickup request straight from the confirmation screen.

Can I track an Estes shipment with the BOL number?

Yes. Estes's FAQ lists the bill of lading number among the references its Shipment Tracking accepts, alongside the PRO, pickup request, interline PRO, load order and purchase order numbers. Expect a gap on the day of pickup, though. Estes says a PRO may not be in its system until the shipment is billed, which usually happens that evening, so tracking details normally appear the next day.

How do I get a copy of a signed Estes BOL or delivery receipt?

Use Estes's online Document Retrieval application. Enter the PRO, BOL, PO or interline PRO number along with the destination ZIP or postal code, then choose whether the image comes by email or fax. A bill of lading can only be retrieved after Estes has scanned it, so a request made soon after pickup may come back empty. Logged-in My Estes users can search without the ZIP code.

What happens if I leave prepaid and collect blank on an Estes BOL?

The shipment moves prepaid. Estes's instructions say an unmarked shipment defaults to prepaid, and the current PDF prints the same rule beside its collect checkbox. If the consignee is paying, tick collect. If a third party is paying, put its name and address in the For Payment Bill To box, which the instructions reserve for exactly that case.

Can I use a bill of lading that is not the Estes form?

Ask Estes before pickup. Estes publishes its own BOL as a PDF and as an online tool, and none of the Estes pages this guide draws on say whether another layout is accepted on a particular account or service. A standard short-form BOL carries the same shipment facts, but the decision is Estes's to make. One question to your Estes account manager or Customer Care team at booking settles it for your account, which no outside guide can do.
